Receptionist - Philadelphia
The receptionist works in the organization’s primary office in Philadelphia
and is the first line of contact from outside the office. The ACLU of PA seeks
a well-spoken individual to answer phones and greet office visitors, handle
in-coming and out-going mail and provide occasional general office support.
This individual is often the first connection a community member has with the
ACLU of PA and plays an important role in presenting the face of the organization.
The receptionist reports to the Business Manager.
Responsibilities:
Phones
- Answers all calls cheerfully and efficiently sends them to appropriate staff
- Maintains messages for staff who are not available with date and time and
clear call back information
- Assists the Legal Department in transfer of intake calls to the intake line
- Instructs new staff on phone system and messaging
Front Door
- Answers door bell after checking security view
- Maintains office and restroom key controls
- Provides assistance for guests in directing them to appropriate staff
- Implements the emergency signal with building security if need arises
Mail
- Picks up mail, opens, date stamps, and copies checks per Financial Procedures
Manual. Stamps invoices and transfers to Business Manager
- Provides assistance for large mailing jobs
- Manages Fed Ex/UPS and special rush outgoing mail
Office Assistance
- Organizes all storage areas
- Provides filing and shredding as needed
- Assists in constructing Board packets
- Takes minutes at the Philadelphia Chapter meetings
- Provides equipment support for staff and volunteers, i.e. mail machine,
copier, fax, printers, scanning
- Provides support for ED and DD when requested
Qualifications:
Skilled in MS Suite including Word, Excel, Outlook, PowerPoint
Strong verbal, written and interpersonal communication skills
Professional phone manner
Ability to prioritize and multi-task
Independent worker, able to function with minimal supervision
Care and attention to detail required
Training:
High school diploma
Business School certification a plus
Two years receptionist/secretarial experience
Compensation and Benefits: Salary is commensurate with experience
and within ACLU of PA compensation scale. Generous benefits (100% employer-paid)
and vacation/holiday package provided.
